Overview

The Office Assistant is responsible for overall front reception office activities. This position will also assist in coordinating office service related activities below.  In addition, this position will provide overall general administrative support to the Office Manager and C-Suite Executive Team. 

 

Responsibilities

  • Answering main phone line and relating messages to appropriate person(s)
  • Maintaining customer/guest registry with building management system
  • Providing professional customer service requests as needed by creating a warm and welcoming atmosphere for guests with a sense of high urgency
  • Be able to prioritize tasks according to urgency
  • Assisting in ordering office/kitchen/event supplies
  • Maintain office environment appearance: front reception area, printer area, kitchen and supply closets
  • Maintain showroom conference rooms daily appearance, ordering meals when needed and maintaining beverage supply for our customer/internal appointments
  • Assisting in customer meetings, office parties and functions
  • Assisting NY Departments on assignment
  • Assist Executive Assistant/Office Manager when needed
  • Assist in office/customer calendar scheduling
  • Assisting in daily Fedex drop offs/deliveries when needed
  • Participate with FILA’s NY Move Task Force as well as other location projects
  • Other duties may be assigned based on office needs

Qualifications

 

  • High school diploma or GED required
  • Associates Degree or Bachelor’s Degree highly preferred
  • One to three years’ experience in an office and/or hospitality environment required
  • Must be able to work overtime as needed
  • Must have polished verbal & written communication
  • Polished and professional phone etiquette
  • Able to work with a diverse group of employees
  • The ability to monitor time so assignments are completed in a timely manner
  • Positive attitude
  • Reliable attendance
  • Extremely flexible in a fast paced environment
